New Hire Training
Welcome to Cary Institute’s New Hire Training Portal
Welcome to Cary Institute! As a new employee, you will need to complete various training from the Human Resources, Safety and Grants/Compliance departments. Below you will find an introduction from each department and the training requirements set for each. Note that these may vary depending on your specific job here.
All training must be completed within the first two weeks or prior to completing the action that requires you to take training. An example would be: if you are driving a Cary Institute vehicle you must first take a safety module for driver’s safety before you may actually drive a Cary Institute vehicle.
Across all training platforms, your user name is your Cary Institute email address and all passwords are the word “training.” You may change your password once you log into each platform.
To view and store all login information for the various training platforms, follow the directions below:
1. Open the Cary Okta Portal: https://caryinstitute.okta.com
2. Sign in with your Cary Institute account username (LastNameFirstinitial) and password
3. Click the green Install Plugin button to install the Okta browser plugin
4. Return to the Cary Okta Portal: https://caryinstitute.okta.com
5. Click the card for specific training
6. The Okta plugin will prompt you to store the password for each training platform. Enter the word “training” and click Save. If you have previously logged in to a particular platform and have changed your password, enter that password instead.
Below you will find an introduction for each department and the training requirements set forth.
Human Resources
You are required to complete the New York State Workplace Harassment Prevention course through Paychex. You will receive an email from Paychex confirming your course subscription. Log in to Paychex, click on “Training” and “Take Me There” for course access.
This training must be completed no later than 30 days from your hire date. All employees must complete this training, even if they work outside of New York State.
You are also required to complete a Defensive Driving Course via eSafety in order to be approved to drive a Cary vehicle. This course will be seen as an assigned course when you complete your online safety training.
For any questions related to Human Resources training, please contact the Manager of Human Resources, Patricia A. Jones, at ext. 109 or jonesp@caryinsitute.org.
Safety
Online Safety Training is provided by eSafety Training which you can find in your Okta portal. The Company name is Caryinstitute (all one word), your username is your Cary email, and your password is stated above. Cary Institute safety training program begins with online training and continued with hands-on training provided by the Safety Officer, your Supervisor or Manager. We strive for a high level of safety by working as a team to promote a health and safe environment for all to work in.
For any questions in regards to Safety Training or the eSafety training platform, please contact the Safety Officer at malcomh@caryinstitute.org.
Grants/Compliance
If you will be conducting research or education and/or working on a project funded by a grant or contract, the Grants Office requires that you complete some compliance-related training and forms. Grants Office staff will reach out of you individually regarding the training courses that will be required of you through Collaborative Institutional Training Initiative, also known as CITI Program.
Instructions for accessing the course(s) applicable to you will be sent to you via email within your first few days of employment.
Most new employees are required to read Cary Institute’s Conflict of Interest and Commitment Policy found in their eSafety course list and to read, complete and sign the Significant Financial Interests Information and Disclosure Form. There is a module in your RCR training (through CITI Program) that covers conflicts of interest that you may want to review first. The form is fillable, which will allow you to complete and return it electronically. If this is applicable to you, the policy and form will be available on your eSafety platform described above. Please email the completed form to Amanda Johnson and Nicole Dwyer (dwyern@caryinstitute.org).
For any questions related to Grants/Compliance training, please contact the Grants Manager/Compliance Officer, Amanda Johnson, at ext. 108 or johnsona@caryinstitute.org.
